ADVOCAP’s Weatherization Department is accepting applications for an Administrative Assistant for our Oshkosh office. This position will communicate work schedules to participants. Assist the Production Manager in planning and organizing work schedules. Create electronic and physical files for new applicant records. Track Weatherization program jobs in progress and provide general administrative support for weatherization work crews.
RESPONSIBILITIES INCLUDE:
- With direction, schedule energy audits, subcontractor and final quality assurance inspections, deferral checks, and crew appointments
- Make reminder contacts one day in advance of scheduled appointments; reschedule day of appointments if needed
- Maintain Outlook and physical daily, monthly, and annual calendar events and notifications; maintain employee absentee/attendance records; maintain phone/email contact lists for employees and business contacts; maintain and enter crew schedule information for Production Manager
- Update and enter new job tracking information
- Create new electronic files for applicants
- Develop and maintain tracking systems for clients and job files; create new physical files/folders for
Weatherization applicants - Respond to calls about in-progress work
- Travel to local work sites to deliver materials, as needed
- Provide office support and reception desk duties as needed
JOB REQUIREMENTS:
- High school degree or GED and 9-11 months of previous work experience
- MS Office and database experience required
- Must possess a valid driver’s license and travel occasionally up to 10% of time using a personal or Agency vehicle
- CPR/First Aid certified or willing to obtain
- Drug screen and comprehensive background check required
- Reliable attendance and a professional work ethic
SALARY & BENEFITS
This full-time position will work 36 hours per week, Monday—Thursday with occasional Fridays. Starting wage is $18.17 per hour based on experience. Benefits include health, dental, vision, life, short- and long-term disability, vacation, sick and holiday pay, and our employer contribution 401k.
